Membership Policy PURPOSE: Because WAA is in need of a uniform and consistent method of maintaining and updating it's membership database, and because it is important for the directors of all WAA sports to use the same systems and procedures to maintain their sports database, and because communication to our membership is a high priority, the following policy is adopted by the board of WAA.SCOPE: The policy will be in effect until changed or rescinded by the Board of WAA. The policy shall be applicable to all directors and or their representatives when dealing with the registration processes and all members of WAA must use this process. WAA will arrange for a central database administrator for the purposes of maintaining and updating the membership database and related issues. WAA will pay for this service by a chargeback system to each of the related sports. This charge back system shall include only expenses that are actually incurred by the association because of the needs of the sport. It is required that all directors use the database administrator that the association has retained.The database manager will provide computer generated back up files to Membership Director and each specific sport director. This will insure the continuation of process in the event the administrator should leave the position. There will be only one registration form used by WAA and that form will be approved by the board. The copies of the form shall be distributed as indicated on the bottom of the form. All sports will comply with the use of this system. All members will be issued a membership card sequentially numbered at the time they pay their membership dues for any given year. The numbers on these cards will be changed each year to reflect the payment of the dues for the New Year. The cards will be issued in as convenient a manner as practical. This shall include such things as pre-sign-up mail outs of invoices for membership billing, Self addressed stamped envelope returns on mail in registrations, and direct distribution of the cards by directors upon receipt of the payment of membership dues.The responsibility to prove membership will be solely on the member. The member shall present proof of payment in either the form of a membership card or the golden rod copy of the registration form showing that they paid the annual membership fee. No member's membership number will be given out by phone by anyone at any time. In the event a member does not posses a membership card or receipt at the time of sign-up, the member shall be required to repay the membership fee before they are allowed to sigh-up. THERE WILL BE NO REFUNDS OF PREVIOUSLY PAID MEMBERSHIPS IN THIS SITUATION. The only reimbursement of previously paid memberships will be in the instance that WAA caused the over or double payment through some sort of error. In the event a member knowingly loses their membership card, the member can apply for a duplicate in writing while including a self addressed stamped envelope. |
